Leveraging technology to gain productivity.

Digital transformations are, typically, implemented to help teams gain efficiency, reduce costs and offer value. Success is often measured by ROI and contributions to the bottom line. While effective measurements, it’s important to not overlook the impact of gained employee productivity.

The situation

A small marketing team was overwhelmed with incoming work. As a first step, Asana.com was implemented as an internal project management tool. The instance was a standard out-of-the-box implementation led by members of the team. The goal was to manage marketing requests and triage work. It was expected that all team members logged in and used the tool daily. 

The team was struggling with:

  • Lack of visibility to work across the team

  • Not knowing where work was in the process

  • Confusion on when and who should contribute

  • Balancing deadlines and expectations

  • Inconsistent use of the tool

  • Wasted time looking for tasks

Approach

The first step was to conduct a MarTech evaluation to determine pain points, understand inefficiencies and evaluate the current platform. In this assessment, it was determined that Asana wasn’t the right tool based on requirements and team structure.

The result

After a thorough assessment and documentation of requirements, it was determined that Monday.com would be a better option to increase efficiency, reduce costs, minimize errors and lessen confusion across the team. As a part of the Monday.com implementation, we also worked to define a process for file numbering, naming and storage that yielded incredibly impressive results, including:

  • A yearly savings of more than 4,000 hours of time across team members.

  • More than $65,000 in savings by eliminating the need for a full-time project management resource and reassigning existing employees to other needed roles.

  • A 75% reduction in team meetings.

Why it matters

The evaluation and implementation of a project management tool transformed the way a small team of marketers was able to work, measure their work and use their time. Implementing a more effective tool increased efficiencies, reduced costs and continues to provide value across the organization.
